Sunday Update (24 May 2020)

Hello Allen Eagles!

Happy Memorial Day weekend to all!  Please continue to check www.cvesd.org and allenelementary.org for the most up-to-date information about our vibrant school community and amazing district: Details regarding the 2020-2021 school year are still being finalized by district leadership and experts, including public health officials. Rest assured that our commitment to the safety of our students and staff is strong. The health and safety of our students and staff remain at the forefront of all decisions regarding the upcoming school year.

While the school year ends officially on Wednesday, June 3rd, the district will continue to offer students access to online programs and resources such as iReady, Achieve 3000, and GoMath over the summer break.

Memorial Day

We hope that you will spend some time as a family this Memorial Day to remember and honor those who fought for our country. Enjoy the holiday with your family!

Wifi Hot Spots and Laptops

If your family needs access to the internet, please communicate with your child’s teacher and Principal John Greenwell, via email.  The district is providing free wifi access to our neediest families.  If you still need a paper/pencil option for learning or a district-provided laptop, please contact your child’s teacher and she/he will put you in contact with someone who can assist you.

Sixth Grade Promotion

Details are still being finalized regarding our sixth grade promotion ceremony, but we hope to have all the details soon.  We will share a link to the virtual ceremony, scheduled for Tuesday, June 2 at 9 am.

We are currently planning a drive through option for students to receive certificates for an evening in June. Details will be shared with families by next weekend. Please look for additional communication from your child’s sixth grade teacher.

Kindergarten Promotion

Kindergarten promotion will occur online via a link for families on Wednesday, June 3rd in the morning. Ms. Davies’ class will have their promotion ceremony at 9:15 am, while Ms. Sinong and Ms. Gurule will have their ceremonies at 10 am.

Please look for additional communication from your child’s teacher for more information regarding details and the link for the virtual ceremony.

CVESD Board of Education Meeting

The CVESD Board of Education meeting will be this Wednesday, May 27th as scheduled, but the time has changed to 2:30 pm. Please see the district’s website for information on accessing this online meeting: www.cvesd.org.

PTC Meeting

The PTC will be hosting an additional meeting in June on Monday, June 8th at 6 pm.  Please email the principal or secretary if you wish to receive the link to attend this online meeting.

Online New Student Registration

Please spread the word to share how wonderful Allen Elementary is!  Online registration for all new incoming students to Allen is now open at the district’s website!  This process is only for families new to Allen Elementary and all incoming kindergarten students.  While the school office remains closed to the public, registration is happening online.   Questions?  Email michelle.reza@cvesd.org.

Click the link here for more information regarding zone transfers (within CVESD) and interdistrict transfers (from outside CVESD). Current Ella B. Allen Elementary students do NOT need to re-register online.  They are automatically enrolled for 2020-2021 school year; however, if your child attends Allen on a Zone Transfer or Interdistrict Transfer that must be renewed each year.  Residency Verification for returning students will be done at a later time (to be announced later).

If your child will NOT return to Allen Elementary in 2020-2021, please email michelle.reza@cvesd.org or john.greenwell@cvesd.org. Outgoing sixth grade students do not need to notify the office staff that they are attending middle school next year.  

Innovation Week

May 26th to May 29th is Innovation Week in CVESD! Members of the district’s Innovation Team will be hosting live online events that explore topics from superhero technology, to building important tools (that will also produce some tasty treats), to exploring the amazing structures animals use for survival. DASH Lottery Update

Due to closures of CVESD schools and the YMCA, the DASH LOTTERY process for the 2020-2021 school year will be completed online only at this link (https://bit.ly/3aKNM6R):  DASH Lottery

IMPORTANT:  DASH Registration and Lottery Submission Period is now through May 24, 2020!

The attached document provides a link to register into the lottery.  Once the registration period is complete, the YMCA will run the random lottery process which selects the accepted students per school.  The YMCA will then email those families prior to the start of school that have been accepted for their next steps.  Those not selected will be placed on the waitlists which will be re-evaluated once school opens.  Registration into the lottery does not guarantee students into the program.  Any registrations submitted after the deadline will be placed on the waitlists.  One registration per student allowed and only for their selected school.

FAQ

What is DASH?

DASH (Dynamic After School Hours) is a recreational program for children in grades 1st-6th funded by the Chula Vista Elementary School District and operated by the South Bay Family YMCA.  DASH operates on all school days for 2 hours on regular days and 3 hours on minimum days for students enrolled.

How many students are accepted for enrollment?

Only 50 students per school site will be selected to complete the enrollment process for DASH.  We will assess enrollment regularly and add new students from the waitlist as students drop or don’t meet the attendance requirements.  Siblings will be kept together, so if one gets in the other will as well.

What are the attendance requirements of DASH?

Students are required to attend/participate a minimum of 30 minutes, 3 days a week (regardless of holidays) to ensure the program is for those who truly need it.  Time off request forms will be available for parents to complete and submit if there is a time period you need off for your student.  Attendance audits will be conducted regularly to ensure everyone is meeting the attendance policies.  If you need support or have any questions about the process please email sbfeedback@ymca.org.

PTC Election Process Update

We are excited to announce that through the nomination process, there were no seats opposed so according to the PTC bylaws, we may announce the following PTC Executive Board members for the 2020-2021 school year:

Superintendent’s Update

May 8, 2020

Dear Parents/Guardians:

Ever since schools closed in mid-March, questions at the front of mind for many parents and staff members have been, When Will Schools Reopen and How Will That Happen? Governor Gavin Newsom recently suggested schools may start the 2020-21 school year as early as late July to make up for students’ learning loss. Please be reassured that no directives or decisions have been made yet about a date for reopening schools.

In the Chula Vista Elementary School District, our current modified year-round calendar calls for a July 20, 2020 start to the new school year. However, we are exploring three distinct calendar scenarios, one each for either a July, August, or September start. Regardless of the date, we first need answers to key questions, chief among them: How to protect the health and welfare of our students, teachers, and staff?

With that in mind, I have formed a “Brain Trust” to examine what learning environments in schools might look like while adhering to state and local social distancing guidelines. I have asked several stakeholders from across our District and community to be part of our discussion—from our bargaining group representatives to parent leaders to public health officials. Among the scenarios we are exploring are “hybrid” distance learning models, where students physically attend school certain days of the week and utilize distance learning for other days of the week. Here are just some of the ideas that will be explored:

  • Limiting the number of students in classrooms to ensure physical distancing. Is that number 10? 12? 15?
  • Devising student schedules so that some attend in the morning, others in the afternoon.
  • Devising alternate schedules, where some attend Mon./Wed., and others Tues./Thurs., with Friday as a “distance learning day.”
  • Revising School Visitor/Volunteer Policies
  • Devising Recess and Lunch Seating Alternatives

We also anticipate the need to purchase everything from additional cleaning supplies to thermometers to thousands of face coverings/masks. This added expense comes at a time of the worst state budget gap since the Great Recession. Schools will be asked to do more in the 2020-21 school year than ever before, radically transforming campuses and implementing rigorous health and safety protocols to prevent the spread of COVID-19. We ask for your patience and support as we go through the careful and thoughtful process of developing a plan for reopening our schools. I want to close by sharing upcoming opportunities to recognize our incredible staff:

  • May 13, 2020 is California’s Day of the Teacher, which our Board of Education also recognizes through a formal board resolution.
  • May 17, 2020 is the start of Classified School Employee Week in California.

CVESD Meal Distribution

Beginning on Monday, May 4, 2020, the District will move to a Monday, Wednesday, Friday meal distribution at nine school sites listed below.  These schools have a student population where 50 percent or more are on free/reduced priced meal program. Please keep the following in mind when planning:

  • Students are required to be present when receiving meals.
  • District and school staff will start “Grab and Go Distribution” of meal bags at 10 a.m. and will stop once all bags are distributed on a first come, first served basis.
  • Meal bags will contain two days of servings each on Monday and Wednesday.
  • Bags will be placed into automobile trunks—they will not be handed through vehicle windows, unless absolutely necessary, for the protection of both our staff and the vehicle occupants.
  • Kindly wear a facial covering or mask.
  • Meals are intended for our neediest children between the ages of 1 to 18.  Servings on Fridays will also include meals for the weekend.

SUHSD Meal Distribution

Sweetwater Union High School District is also serving meals for students on Tuesdays only in May.  Due to the fact that many Allen families also have students within that district, we wanted to share this information.

Dates:  Tuesdays (May 5th, 12th, 19th and 26th)

Time:  11:00 a.m. to 1:00 p.m

Locations:

  • Chula Vista Middle
  • Chula Vista High
  • Granger Jr. High
  • Hilltop High
  • Mar Vista Academy
  • Montgomery Middle
  • Otay Ranch High

Distribution will include seven (7) breakfasts and seven (7) lunches for a total of fourteen (14) meals distributed to any student, 2 to 18 years old. A difference from CVESD Meal Distribution is that students do not need to be present to receive a lunch.  Instead, parents will be asked to confirm that they have a child at home.

Allen Essential Item Distribution

MAY 4 & May 5

Adults only, please, if possible.  Please wear a mask and practice physical distancing.  Volunteers and staff will bring items to your car in the car loop outside of Daly Academy.

If your child has medications at school, you may pick them up at this time, or you can leave this year’s medications in the health office to be picked up at later date.  As always, new/updated orders from your child’s doctor for the new school year will be needed.

PTC Update

CVESD Meal Distribution

Beginning on Monday, May 4, 2020, the District will move to a Monday, Wednesday, Friday meal distribution at nine school sites listed below.  These schools have a student population where 50 percent or more are on free/reduced priced meal program. Please keep the following in mind when planning:

  • Students are required to be present when receiving meals.
  • District and school staff will start “Grab and Go Distribution” of meal bags at 10 a.m. and will stop once all bags are distributed on a first come, first served basis.
  • Meal bags will contain two days of servings each on Monday and Wednesday.
  • Bags will be placed into automobile trunks—they will not be handed through vehicle windows, unless absolutely necessary, for the protection of both our staff and the vehicle occupants.
  • Kindly wear a facial covering or mask.
  • Meals are intended for our neediest children between the ages of 1 to 18.  Servings on Fridays will also include meals for the weekend.

New Student Registration

Do you know a child who will turn 5 by September 1, 2020?  It’s time for kindergarten and new student registration!  Please spread the word to share how wonderful Allen Elementary is!  The school office is closed to the public, so registration is happening online.   Questions? email michelle.reza@cvesd.org.

Current Ella B. Allen Elementary students do NOT need to re-register online.  They are automatically enrolled for 2020-2021 school year.  Residency Verification for returning students will be done at a later time (stay tuned).  If your child will NOT return to Allen Elementary in 2020-2021, please email michelle.reza@cvesd.org or john.greenwell@cvesd.org.

Last Call for Allen Yearbooks!

All orders for 2019-2020 Yearbooks will be placed online.  Due to the current health situation, the only option for distribution will be via mail.  There will be an additional $5 shipping charge added to all orders that you will pay at check out.  You may order a soft cover yearbook for $20 or a hard cover yearbook for $25 with the option to personalize the yearbook for an additional fee.  Please submit all orders before May 1, 2020 at the website below:

Distance Learning Device Loan

As you may now know, CVESD officially has a plan to roll out the distribution of student laptops at school sites.  If needed, we hope that this service can provide greater access to your child’s Distance Learning Program.  Communication of this need for a device to your child’s teacher(s) is essential.  Our team is carefully tracking need in order to provide this service.

A couple of important items to keep in mind:

  1. We ask for your consideration in requesting a device for your student; request a laptop on loan only if you really need one. Some families have noted that they have a cell phone, but it is difficult for students to access all programs and resources for distance learning on cell phones and some tablets.  Therefore, we want families to have the option of borrowing a laptop or tablet.  All devices are granted on a temporary basis and will need to be returned to the school in working condition.  Tentatively, devices will be returned for K-5 students when school officially reopens.  6th grade students will return devices to the school on or before June 1, 2020.
  2. We realize that many families have more than one student.  We are able to provide one device for every two students in a family in order for us to meet the needs of all families throughout the District as devices are limited.
  3. Our District has also prepared a safety plan that helps ensure the protection of both our staff and the students/families who will pick up the devices for their temporary use at home. Details of the Distance Learning Device Checkout will be sent directly to borrowers, along with a Release Form. The form must be signed by the student’s parent/guardian. Each borrower agrees to return the equipment in the same condition as when loaned and further agrees to reimburse the District for any loss or damage incurred while the borrower has custody. Normal wear and tear excluded.
  4. Each distance learning device is to be used for educational and school-related purposes only.  All students are expected to use good judgment and common sense: be safe, appropriate, careful, and kind online. It is the parent/guardian’s responsibility to ensure their child follows the internet acceptable use guidelines on distance learning devices at home. This device does not have Internet filtering software and parent/guardian are fully responsible for the monitoring of any online activity of their child(ren).
  5. More information around internet hotspots throughout the city of Chula Vista will be coming soon.

This process is being rolled out in two different phases:

Phase 1: ONLY for designated Foster and Special Education Students

  • When: Friday, April 24th from 1:00 pm – 3 :00 pm
  • Where: Allen Elementary Front Office

Phase 2: Remaining students that have requested device need via your child’s teacher.

  • When: Begins on Friday, May 1st and continuing on Monday, May 4th and Tuesday, May 5th.
  • Details and specific times coming soon!  Please wait to hear from our staff before coming to the school to pick up a device.
  • Where: Allen Elementary Front Office
  • How: Walk up service:  Please wear a mask and follow all social distancing guidelines
  • What: Student will receive a student laptop, charger, and login credentials in a bag
  • Why:  To gain improved access to Distance Learning

Our aim is to ensure that social distancing guidelines are followed by everyone in our school community, both staff and families.  Please wear a face mask and gloves, if you have them.  We ask that one parent/guardian exit the vehicle to collect their child’s device bag.  Our entire distribution team will be utilizing Personal Protective Equipment to prepare devices and ensure the most sanitary and safe process possible.

As there are many components to this service, please continue to stay tuned for communication from our Allen team.  As Superintendent Dr. Escobedo shared, the key word during this extended school closure period is flexibility.  We know students face a variety of challenges and conditions that might impact learning at home.  For all the discussion about devices, we know that the social and emotional health of our families is paramount.  Learning is impacted when students are suffering from housing, food or domestic insecurity.   Please let your child’s teacher or myself (by emailing me at john.greenwell@cvesd.org) know how your family is doing. We are here to assist to the extent possible. We will get through this emergency situation together.

We are working towards assessing the needs of our school’s families related to Distance Learning.  Please click the link and complete the questions on the Allen Distance Learning Family Information Form.  Kindly complete this form as soon as possible if you have not yet done so.
The district hopes to provide better access to technology to support students in distance learning.  Completing this survey will be help our school assist your child!

Wi-Fi Hotspots are coming soon!

The city of Chula Vista created a plan to purchase Wi-Fi Hotspot devices to give out to families who need internet access for their children to attend virtual classrooms.  The Chula Vista City Council voted unanimously on Tuesday to an agreement with T-Mobile and potentially other telecommunication providers to purchase 2,000 WiFi hotspots.  Funding for the devices and service, totaling $650,000, will be paid by the Public Education Grant Fund and will not affect the city’s, nor the district’s general funds.  More details on this will be provided by both the city and the district in the coming days.
